Virtual Assistant

Job Description
We're expanding our team at Body By Bikini, led by Melissa Neill! We are looking for a proactive and organized Virtual Assistant who is passionate about supporting our mission to empower women through fitness and wellness. This role is integral to our team, providing support to our CEO and assisting with team and customer service tasks. We're looking for someone who can commit at least 40 hours per week, with the flexibility to work on weekends and cover for team members when needed. Payment is dependent on skills with the possibility for progression depending on overall performance

Key Responsibilities:

  • Handling customer enquiries through Zendesk, app community and Gmail
  • Drafting weekly newsletters for the client
  • Uploading repurposed content in various social media platforms
  • Handling social media messages and comments online
  • Producing and scheduling social media content
  • Create graphics via Canva (as needed)
  • Writing blogs from Melissa’s video content with the help of Chat GPT
  • Monitoring/Organizing the team and CEO calendar
  • Using the customer database (Active Campaign)
  • Sending meeting notes to clients and team members.
  • Reminding clients of upcoming meetings and checkins.
  • Organizing files in Google Drive and managing team calendars.
  • Scheduling Zoom meetings
  • Maintaining/updating multiple spreadsheets/database related to CS tasks
  • Updating the client’s database
  • Assist CEO with various weekly Zoom meetings as a host
  • Generate reports (as needed)

Qualifications:

  • Excellent communication and organizational skills.
  • Excellent Tech skills – it would be advantageous to have prior experience of Zendesk, Meta, Active Campaign (or other CRM system), Google Drive, Zoom
  • Social Media Management skills including Instagram, TikTok, Facebook, Pinterest, Twitter, Linked In and Youtube
  • A positive attitude and eagerness to help grow the company
  • Good at problem solving and coming up with ideas
  • Prior experience in a similar role is preferred


You will report to the Customer Service Manager and will use tools such as Google Workspace, Meta Business Suite, YouTube Studio, Calendly, Zoom, Airtable, Canva, ActiveCampaign and Zendesk. The total hours per week will be at least 40 hours per week including weekends. We’ll start with a 14-day trial period to test your skills and see if you are a good fit for the role.

  • Excellent customer service skills.
  • Familiarity with the tools mentioned above.
  • A positive attitude and willingness to learn.
  • A sense of urgency and accountability when dealing with tasks
  • Ability to adapt flexibly in a fast-paced environment as the business is growing rapidly
  • Prior experience in a similar role is preferred

  • People who are not able to work on weekends.
  • Individuals who are not detail-oriented or organized.
  • Unable to manage the tasks and time efficiently.
  • Unable to take full accountability of their tasks
